1. Introduction

Welcome to Wherever You Are Ltd (“we”, “our”, or “us”).
By booking or participating in an experience, retreat, or service provided by us, you agree to be bound by these Terms & Conditions.
Please read them carefully before making a booking.

Our experiences are designed to help guests pause, reflect, and reconnect through stillness, journaling, and nature.
They are not medical, therapeutic, or psychological treatments, and should never be considered a substitute for professional healthcare or therapy.

2. Nature of Our Experiences

Our retreats and experiences are created to offer calm, reflection, and reconnection through journaling, nature, mindful cooking, and quiet observation.
They focus on self-discovery, emotional awareness, and wellbeing, offering gentle guidance rather than formal instruction or treatment.

Some experiences may include optional reflections or evaluations carried out by psychology students with the aim of offering thoughtful insight and supporting couples or individuals in understanding their personal journaling and emotional growth.
These interactions are intended to encourage reflection and self-awarenessand are not therapeutic, diagnostic, or medical in nature.

All reflections are handled with respect, sensitivity, and confidentiality.
Participation is entirely voluntary, and guests may choose not to share personal information at any time.

Facilitators and students are not medical or psychological practitioners, and all guidance provided during your stay is intended as gentle, non-clinical support to promote mindfulness, balance, and connection.
Guests remain fully responsible for their own wellbeing throughout the experience.

3. Booking Process

• Bookings      can be made via our website or by direct email enquiry.
• Once      we receive your request, we will confirm availability and provide payment      details.
• A      booking is considered confirmed once payment (full or deposit) has been      received and written confirmation issued by us.

4. Payments

• All      prices are in GBP (£).
• Payment      is accepted via secure online methods (e.g., Stripe, bank transfer).
• Prices      may vary before confirmation but remain fixed once booked.
• Full      payment or deposit is required within the timeframe stated in your booking      confirmation.

5. Cancellations & Refunds

By You

• Cancellations      made 30 days or more before the start date → 50% refund or      option to transfer deposit to a future stay.
• Cancellations      made within 30 days → non-refundable.
• You      may transfer your booking to another person with prior written notice,      subject to approval.

By Us

• We      may cancel or reschedule in the event of unforeseen circumstances (e.g.,      illness, severe weather, venue issues).
• In      such cases, you may either transfer to another available date or receive a      full refund.
• We      are not responsible for any other costs incurred, such as travel or      accommodation beyond the retreat itself.

6. Personal Conduct

We aim to maintain a calm and respectful environment.
Guests are expected to treat others, staff, and property with courtesy.
We reserve the right to ask any guest to leave the experience without refund if their behaviour is disruptive, unsafe, or disrespectful.

7. Health & Safety

• You      are responsible for assessing your own readiness to participate in all      activities.
• Please      inform us of any relevant medical conditions, allergies, or dietary needs      before arrival.
• You      participate at your own risk and agree to take responsibility for your      wellbeing.
• Wherever      You Are Ltd is not liable for any injury, loss, or damage unless directly      caused by our negligence.

7A. Damage to Property

Guests must treat all accommodation, furnishings, and equipment with care and respect.
You agree to be financially responsible for any damage, loss, or excessive cleaning required as a result of your actions or negligence during your stay.

All items, décor, and materials provided during the retreat remain the property of Wherever You Are Ltd or the venue host.
Guests are not permitted to remove or take home any items from the property other than the designated gift set provided at the end of their stay.

We reserve the right to recover the full cost of repair, replacement, or loss — including any third-party charges from the venue or host.
An additional fee may be charged if missing or damaged items affect the next guest’s experience.

8. No Technology Policy

To protect the quality of the experience, guests agree to disconnect from mobile phones and digital devices during the retreat unless otherwise agreed for safety or accessibility reasons.

All personal smartphones and devices will be securely stored for the duration of the stay to encourage full presence and reconnection.

For emergencies only, two simple feature phones are available on-site, each fully charged and kept with two chargers.
Guests or facilitators may use these phones solely for urgent communication or in case of an emergency.

This policy ensures peace, privacy, and the integrity of the reflective environment while maintaining basic safety and accessibility at all times.

9. Intellectual Property

All materials provided during your experience - including journal prompts, guided reflections, and creative exercises - remain the intellectual property of Wherever You Are Ltd.
They are for personal use only and must not be copied, shared, or used for commercial purposes without written consent.

10. Privacy

Your personal data is handled in accordance with our Privacy Policy and Cookie Policy.
Any personal reflections or journal entries shared during your stay are treated as confidential and deleted within 30 days of the retreat unless otherwise agreed in writing.

11. Limitation of Liability

Except where required by law, Wherever You Are Ltd shall not be liable for:

• Any      indirect or consequential loss;
• Any      injury, damage, or personal loss not directly resulting from our      negligence;
• Any      delay, cancellation, or change beyond our reasonable control.

These experiences are non-medical, and you participate with full personal responsibility.
Your statutory rights as a consumer are not affected.

12. Force Majeure

We are not liable for any delay or failure in performance caused by circumstances beyond our control, including but not limited to acts of nature, strikes, pandemics, or travel restrictions.

13. Governing Law

These Terms & Conditions are governed by and construed in accordance with the laws of England and Wales.
Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
