  • Personal      reflections or journal entries: if you choose to share written      reflections, responses to mindfulness prompts, or other personal materials      during your experience, these are collected only with your consent and      used exclusively to personalise your experience. Sharing is always      optional.
  • Website      usage data: including IP address, browser type, time zone, and cookies      (see Section 7 for details).

2. How We Use Your Information

We use your information to:

  • Process      and manage bookings or enquiries.
  • Provide      and personalise your retreat or experience.
  • Communicate      with you regarding updates, confirmations, or support.
  • Improve      our services, content, and overall guest experience.
  • Comply      with legal or accounting obligations.

Personal reflections or journal entries that you choose to share are treated as strictly confidential and are never used for marketing or promotional purposes without your explicit written consent.


2A. Retention of Personal Reflections and Journal Entries

Any personal reflections, writings, or journal entries that guests voluntarily share with Wherever You Are Ltd are stored securely and used only to support or enhance the retreat experience.

Unless otherwise agreed, these materials are deleted within 30 days of the end of your retreat or experience.
Anonymised insights (with all identifying details removed) may be retained to help us improve our programmes or understand participant needs - never for marketing, advertising, or external sharing.

You remain the owner of your reflections and may request deletion of your shared content at any time by contacting hello@whereveryouare.uk.


3. Legal Basis for Processing

We process personal information under the following legal bases:

  • Contract:      to provide the services you have booked or requested.
  • Consent:      where you have chosen to share reflections, receive updates, or marketing.
  • Legitimate      interests: to operate, improve, and protect our business.
  • Legal      obligation: to meet accounting and record-keeping requirements.

4. How We Share Your Information

We do not sell or trade your data.
We may share limited personal information only with trusted third parties who help us run our business, such as:

  • Secure      payment processors, web hosts, or booking platforms.
  • Professional      advisers (accountants, legal consultants).
        All partners are contractually required to keep your data secure and use      it solely for the purposes we specify.

We retain:

  • Booking      and financial information for up to six years (for legal and tax reasons).
  • Enquiries,      emails, and marketing preferences until you withdraw consent.
        Once data is no longer needed, it is securely deleted or anonymised.
